Introduction to Assessments

An assessment is based on a questionnaire. The assessor chooses the questionnaire when creating an assessment. The questionnaire defines the type of the assessment, the questions asked, and the style of the PDF report produced.

Type

RiskBase can be used to create any kind of assessment that fits our structure. Your organisation could create types called Fire Risk Assessment, Housing Inspection, Signage Audit, and Elephant Audit (sure, why not?). Types help with reporting and enforce limits:

  1. Action tasks produced by an assessment are linked to its type; e.g. a report can be produced focusing on action tasks identified in Fire Risk Assessments.
  2. A property can have only one non-approved assessment of each type; e.g. a new Fire Risk Assessment cannot be started until the previous Fire Risk Assessment is approved.

Questions, Actions, and Control Measures

Like the type, the questions asked are based on the questionnaire. The questions help build a list of actions and control measures (significant findings).

Actions identified during an assessment are turned into tasks. These tasks can be categorised, prioritised, and assigned to users in RiskBase.

Control Measures identify processes in place to ensure a hazard does not exist or has minimal impact; for example “The fire alarm is being correctly maintained and recorded.”

PDF Report

Each assessment is accompanied by a PDF report. During the assessment, a draft report is available to preview.

Once an assessment is approved, an approved report is created and saved; this report will never change. A live version of the report is also made available showing up-to-date information about the property and identified actions.

View Assessments

Right click on an organisation or a property in the Explorer and select Assessments.

Accessing from the organisation will show assessments for all properties, whereas accessing from the property will show assessments for that property only. The page lists assessments on the right and a filter on the left.

Filter Options
Search Text Assessment’s reference. Property’s name, postcode, or reference.
Status Selectbox [In Progress, Submitted, Approved]
Exclude Older Approved

Checkbox Tick to only show the most recent approved assessment for each property. All in progress and submitted assessments will be shown. Show ExampleHide Example

Type Selectbox Type of assessment (e.g. Fire > Fire Risk Assessment).

Date Range Assessed between two dates.
Submitted See Assessed above.
Approved See Assessed above.
Show Assessments from Child Objects Checkbox E.g. if you’re viewing the assessment page for a property group called “Retail”: ticking this will show assessments performed on “Retail” and all of its child objects — un-ticking this would only show assessments performed on “Retail”.

Download Assessment List as a CSV

To download a CSV of the assessments shown in the list:

  • Click Download top right of the assessments page.
  • Select Download CSV from the menu under the “Assessment List” section.

Significant Findings Register PDF

The Significant Findings Register displays up-to-date information about a property’s actions and control measures from all assessments.

  • Click Download top right of the assessments page.
  • Select Significant Findings Register from the menu.
  • From the “Significant Findings Register” window, choose which actions and control measures you’d like to include.
  • Click Preview or Download.

The register is only available when accessing a property’s assessment page (right clicking a property in the Explorer and selecting Assessments).

Only actions and control measures in approved assessments are included in the Significant Findings Register.
